Privacy policy

How we collect, use and protect personal information, and how you can exercise your rights.
Last reviewed: 1 October 2026

1. Who we are

inLIFE is the trading name of inLIFE Design Ltd., registered in England and Wales, company number 06400955.

Our trading address is inLIFE Ranch, Chase Oak House, Burntwood, Staffordshire, WS7 3QL. Our registered office is Hales Court, Stourbridge Road, Halesowen, England, B63 3TT.

Email [email protected] or call 01543 675474.

We are responsible as controller for personal information used to run our business, handle enquiries and manage our client relationships. This notice covers our website, enquiries, marketing, client administration, the inLIFE Mission Control Android app and visits to our premises. Where we handle personal data on a client’s instructions, our role and processing terms are set out in the agreement for that service.

2. The information we use

  • Enquiries: your name, business name, email, phone number, website address, services or packages of interest, meeting preferences and anything you include in your message.
  • Client services: contact details, project correspondence, files and content you supply, support requests, service records, billing information and payment status.
  • Networking: your chosen group and business category, so we can check visitor availability and reply to you.
  • Newsletters: your email address, name or business details where supplied, subscription preferences and records of joining or unsubscribing.
  • Website use: technical information such as IP address, device/browser information, requested pages and security logs. With your consent, Google Analytics and Google Ads also measure website use, phone/email link clicks, successful enquiries and advertising effectiveness. Form-field contents are not included in these measurement events. See our cookie policy for browser storage and external content.
  • Guest Wi-Fi: device details, access times, data usage and network activity, which may include websites or applications accessed.

We receive information directly from you, from people authorised to act for your business, and from the services you ask us to connect or manage. Relevant business information may also come from your public website or public business profiles. Please avoid sending sensitive personal information or passwords through a general enquiry form.

3. Why we use it and our lawful bases

  • Responding to enquiries and preparing proposals: taking steps at your request before a contract, or our legitimate interests in communicating with business contacts and responding to requests.
  • Delivering services and support: performing our contract with you, or our legitimate interests in working with your organisation where you are its contact.
  • Billing and business records: performing contracts, meeting legal accounting obligations and our legitimate interests in keeping accurate records and resolving disputes.
  • Protecting our systems and guest network: our legitimate interests in preventing misuse, maintaining security and investigating incidents.
  • Marketing: consent where required, or legitimate interests where the law permits the relevant business communication. Electronic marketing must also meet the applicable rules on consent or a permitted exception.
  • Optional analytics and advertising measurement: your consent, which can be changed through our cookie preferences.
  • Optional external videos and social posts: your consent to loading the embedded provider, as explained in our cookie policy.

Where we rely on legitimate interests, we consider whether the purpose is necessary and proportionate and how it affects your rights. Our website enquiry process does not make decisions with legal or similarly significant effects on you solely by automated means.

4. Newsletters and your choices

We use MailerLite to manage our own mailing list and send newsletters. It processes subscriber information on our behalf; see MailerLite’s privacy information.

Submitting an enquiry, requesting a brochure or asking to visit a networking group does not automatically subscribe you to our newsletter. Where we ask for consent, the choice is separate from your enquiry.

You can object to direct marketing at any time. Use the unsubscribe link in a marketing email or contact [email protected]. Where processing relies on consent, you can withdraw it at any time without affecting processing that was lawful before withdrawal. We may retain a minimal suppression record so we can respect your preference.

5. Who information is shared with

We do not sell personal information. With the relevant consent, we use Google Analytics and Google Ads for website and advertising measurement, and CookieYes to manage consent choices. Google may process information internationally; see Google’s privacy policy and our cookie policy. We use service providers where needed to operate our business and deliver your services, including website hosting and IT support, email and file storage, our client portal, MailerLite, payment services such as GoCardless where used, and professional advisers.

Providers receive the information needed for their role and are subject to appropriate confidentiality and data-protection arrangements. For projects involving a delivery partner, such as Lichfield Podcasting Studio, we explain the partner’s involvement and share relevant details when needed to arrange or provide the service.

For a networking invitation, we check business-category availability and discuss the next step with you before arranging a visit. We may need to disclose information to regulators, public authorities or advisers where legally required or necessary to establish, exercise or defend legal claims.

6. International access and transfers

Some suppliers or their support teams may process information outside the UK. Where a restricted international transfer is involved, the transfer must be covered by an applicable UK adequacy regulation or appropriate safeguards, such as approved contractual terms and any necessary additional protections. You can contact us for information about the arrangements relevant to your data and how to obtain details of the safeguards.

7. How long information is kept

We keep personal information for as long as it is needed for the purpose for which it was collected. We use the following criteria rather than one period for every record:

  • Enquiry records are kept while we respond and for a reasonable follow-up period, taking account of whether an ongoing relationship develops.
  • Client and project records are kept for the duration of the service and afterwards where needed for support, agreed handover, legal obligations or the resolution of claims.
  • Invoices and accounting records are retained for the periods required by applicable tax and accounting law.
  • Marketing records are retained while relevant to the subscription, with minimal opt-out records kept to honour your choices.
  • Security and guest-network records are kept only as needed for operation and investigation, unless an incident or legal requirement justifies longer retention.

When information is no longer required, it should be securely deleted or anonymised. Backups may retain copies until their normal replacement cycle. Ask us about the retention arrangements for a particular record or service.

8. Security and information you provide

We use proportionate physical, technical and organisational safeguards to protect personal information and limit access to people who need it for their work. No online service can guarantee absolute security.

Fields marked as required on a form are needed to deal with that request. Other fields are optional. If you do not provide information needed for an enquiry or contract, we may be unable to respond fully or deliver the requested service.

9. Your data-protection rights

Depending on the circumstances, you may ask for access to your information, correction of inaccurate information, deletion, restriction of use, or a portable copy. You may also object to processing based on legitimate interests. These rights have legal limits; we will explain if a request cannot be met in full.

Contact [email protected] or write to our trading address. You do not need to use a special form. We may need proportionate information to verify your identity or clarify your request.

We normally respond to a subject-access request within one month and without a fee. The law allows limited extensions, pauses and exceptions; if one applies, we will explain it. More detail is available on our GDPR & data protection page.

10. Concerns and complaints

To raise a concern or make a data-protection complaint, email [email protected], use our contact form, call us or write to our trading address. Tell us what happened, which service it concerns and how you would like us to contact you. Please do not include unnecessary sensitive information.

We will acknowledge a data-protection complaint within 30 days, investigate appropriately without undue delay, keep you informed and communicate the outcome. This is separate from the time limit for responding to a rights request.

You can also complain to the Information Commissioner’s Office (ICO), the UK’s data-protection regulator, or call 0303 123 1113.

11. Other services and changes

Links to third-party websites, social networks, payments and external platforms take you to services with their own privacy information. A separate product or service notice may give more specific details about a connected service.

We update this notice when our practices change. The review date above identifies this version; significant changes will be brought to your attention where appropriate.

12. inLIFE Mission Control for Android

inLIFE Mission Control is provided by inLIFE Design Ltd. The Android app offers public news, podcasts and planning tools, and opens Mission Control and IRIS for existing clients. The rest of this privacy policy also applies to our handling of your enquiries and client information.

Information kept on your device

The Android app stores saved articles, cached news and episode details, your checklist progress, campaign brief, listening position, playback preferences and reduced-motion preference on your device. These records are not uploaded to inLIFE by the native app. Sharing a brief or article is your choice and uses the app you select in Android's sharing menu. Exported files remain wherever you choose to save them.

News and podcasts

When the app fetches news, images, episode information or audio, the receiving servers receive the network information needed to deliver that content, including your IP address and app or device information. Podcast audio is hosted by Buzzsprout. Buzzsprout records IP addresses, user-agent information and, in some cases, referring URLs to validate downloads, provide listening statistics, prevent misuse and comply with legal obligations. Approximate listening locations can be derived from IP addresses. See Buzzsprout listener privacy policy for its listener privacy information. The native app contains no advertising SDK, Google Analytics SDK or advertising-ID collection.

Mission Control and IRIS

Sign-in opens the relevant service in a secure browser tab. The native app does not read or store your password. Browser cookies and sessions are managed by your browser. Information you provide within those services is handled by the service, including account details, uploaded files and, in IRIS, AI conversations. The login areas do not use Google Analytics or advertising tracking. IRIS's service privacy information describes its processing of business content and AI requests.

Deleting app information or requesting deletion

You can remove saved articles, reset your checklist and clear your campaign brief using the app's controls. Android's Clear storage option or uninstalling the app removes its locally stored information. Exported files and browser data must be removed separately from the location or browser where they are stored.

To request deletion of information held by inLIFE for Mission Control or IRIS, email [email protected] with the subject "inLIFE Mission Control — data deletion". Tell us which service and account the request concerns; do not send your password. We may need to verify your identity. We will explain any client records that must be retained for an ongoing service, security, legal obligations or resolving claims, and the applicable retention arrangements. Our retention criteria and your rights are described in sections 7 and 9 of this policy.

Public news, podcast browsing and the Toolkit do not require an account. Network requests use encrypted HTTPS connections. External sites and the apps you choose for sharing have their own privacy practices.
